Enrollment instructions

Instructions on how to obtain your digital identity and your enrolment number were sent to you by email.

📝 Instructions in English

You will need your UL digital identity (UL-ID) for:

• completing the enrolment process,
• accessing the UL FMF Student Information System (VIS),
• using the University of Ljubljana’s IT services.

Activate your university email address via the ID-portal website (tab: Email).

All official notifications from the faculty will be sent only to your university email address.

Your student ID card will include your photograph, which must meet ID document standards. You must upload the photo during the completion of your enrolment form in VIS, so prepare it in advance. If the photo doesn’t meet the minimum requirements, you won’t be able to submit the enrolment paper and thus cannot complete the enrolment.

Minimum photo requirements:

• front-facing photo with visible face (no hats, caps, scarves),
• no objects or background distractions,
• portrait orientation, without borders or frames,
• format: JPG, minimum size 400 x 503 pixels.

Complete your enrolment form online via the VIS portal. Log in using your UL-ID (username and password).

⚠️ For security reasons, your session will time out after 15 minutes of inactivity, so make sure to prepare all necessary information beforehand.

Required information

• personal: permanent and temporary address, email, Slovene tax number (if you have it), Slovene EMŠO number (if you do not have it, the faculty will acquire it for you)
• education: full name of the secondary school (as shown on diploma, no abbreviations),
• study programme: orientation (if the study programme has them) and a list of chosen elective courses,
• photo for student ID,
• mandatory attachments: scans or photos of required documents (see step 5).

Elective courses

• The total sum of ECTS credits (mandatory + elective) must be 60 ECTS.
• Mandatory courses are added to your index automatically.
• Choose your elective courses — how many you can choose depends on your study programme and orientation. A full list of courses with descriptions is available under your study programme.

VIS will offer only elective courses for the 2025/26 academic year.

If you select an external elective course (e.g. at another faculty), choose:

• External Elective UL FI 3 ECTS, and
• follow the instructions for enrolling in the course.

If you select a course from the Center za obštudijske dejavnosti (COD UL), choose:

• Sports activities (even if it’s worth 4 ECTS), and
• follow the instructions for registration in the course.
  

📌 COD UL course registration is open from 20–30 September or until places are filled. Spots can fill quickly.

Completing the enrolment paper

• After logging in to VIS, select: Vpisni list / Enrolment.
• Fill in applicable fields. Use full and accurate information (no abbreviations).
• For easier communication, please enter your email address and mobile phone number.
• Confirm enrolment by clicking the “Confirm” button. If the information is correct, confirm again. If not, go back and correct any errors.
• There is no need to print the form.
  

📌 Report any errors or changes in your data to the Student Office.

⚠️ Required for candidates who:

• completed secondary school abroad, or
• completed secondary school before June 2025.
  

⚠️ Deadline for attachment submission: 25 September 2025

⚠️ Enrolment will be completed only once all required attachments are submitted.

Procedure:

• In VIS, go to: Vpis / Priloge k vpisu (Enrolment / Attachments).
• Upload and submit the required attachments.

Required attachments:

(a) Candidate who completed secondary school abroad:

• Decision from the University of Ljubljana on the recognition of foreign secondary school certificates.

(b) Candidate who completed secondary school before 1 June 2025

• 📝 Statement on previous higher education studies and/or
• Certificate of withdrawal (if you were enrolled in Slovenia)
  

📌 If you have student status, you will lose it on the day of withdrawal and regain it the day after completing enrolment.

📌 If you don’t have student status, you will regain it on 1 October 2025.

After successfully completing the enrolment, an invoice for enrolment fees will be sent to your university email address. You can also find the invoice in your VIS.

⚠️ If you do not receive the invoice by 26 September 2025, please contact the Student Office as soon as possible.

After receiving the invoice, you can print out your enrolment certificate in VIS.

The enrolment fee is €32.90 (according to the UL price list).

• You will receive the invoice by email at your university address.
• Pay the invoice by the date specified on it.
• Do not send proof of payment.

👉 Note: You may be required to pay tuition fees if:

• you're a citizen of a non-EU country (see exceptions)
• you’ve already repeated a year, or
• you’ve changed programmes due to unmet obligations, or
• you already hold a degree of the same or higher level.
  

In that case, you will receive a study contract and a tuition invoice before your enrolment is confirmed.

PHYSICS

For first-year Physics students, a three-day workshop in September will be held to review and consolidate math knowledge (functions, series, differentiation, integration, differential equations) and to ease the transition into physics studies.

APPLIED PHYSICS

For first-year Applied Physics students, two workshops are organised:

• Introductory Programming Course and
• Mathematics Refresher Course
  

These will review basic programming concepts and consolidate mathematical knowledge.
