Master’s thesis guide and graduation path for SARENA students in NROS track
Here are the instructions for students seeking to enrol in the second year of the second cycle of the SARENA program based on transition criteria.

To enrol in our program, you must first submit an application via the eVŠ portal: EVŠ enrolment. Application is mandatory, as it is the first step to secure your enrolment at our faculty.
When accessing the eVŠ portal, ensure you select the correct application option:
- The 2nd Cycle MSc Program "Nuclear Engineering"
- Faculty of Mathematics and Physics, University of Ljubljana
- Applicable Rules: "REGISTRATION TO THE SECOND STUDY YEAR, Transfer among study programmes."
The portal will guide you through the enrolment form. Please complete all sections of the form; incomplete applications will not be visible to us.
Together with enrolment application you submit documents for recognition of the previous education:
- previous finished education
- list of courses finished within SARENA program with ECTS (normally LUT/IMT can prepare that for all of your courses finished)

Once you apply, the Student's office will guide you through the process of enrolment in the VIS system.

For those staying in Ljubljana during the 4th semester, a list of possible MSc thesis topics is available here: Thesis Topics
Note: This is relevant only for students staying in Ljubljana for the 4th semester. Students returning to LUT are not affected.
- SARENA is a Double-Degree program, meaning you perform work for one MSc thesis, but publish it in the formats of both LUT and UL (2 versions).
- The thesis supervision is provided by either LUT or Ljubljana
- The student group is divided ~half/half between LUT and UL. You can ask to be supervised by either. You will co-supervision from the other university. Both will grade your thesis
- Both universities need to approve the topic in advance. When you begin work at LUT, ask for also UL approval; when you begin with UL, ask for LUT approval of the topic
- The topics can be offered by LUT or Ljubljana. You can also propose a topic from external party (university or company) as internship

- Supervisors must include both LUT and UL supervisor
- Send it to Email.
- Remember to have your topic approved by Ljubljana as well at the same time

After you defend your master’s thesis at LUT:
Please send the following documents to sandra.muric@fmf.uni-lj.si:
- Certificate of completed studies
- Certificate of completed courses
After submitting these, you will need to follow these steps:
- Step 1: Topic Application
- Submit your thesis topic through the VIS system.
- Print the topic application and have it signed by you, your mentor(s), and co-mentor(s).
- Submit the signed version to the Student Office or email it to sandra.muric@fmf.uni-lj.si.
- The topic will be reviewed and confirmed by the Committee for Student Affairs.
- Step 2: Technical Review
- Send your master’s thesis for a technical review to the library at fiz.knjiz@fmf.uni-lj.si.
- Once your thesis passes the technical review, we will issue certificates of completed courses and completed studies from the University of Ljubljana.
Note: Printing your thesis is not required in this case.

First meeting of the thesis topic discussion at UL:
- Contact any professor of nuclear engineering to discuss potential topic. If you have your own topic, propose it to the supervisor.
- Apply for your chosen topic by submitting an abstract in the VIS system.
- Ensure your topic is approved by LUT at the same time.
If you completed all courses but have not defended your master’s thesis at LUT:
Thesis preparation: Follow the thesis template at: https://www.fmf.uni-lj.si/documents/1117/Mag_angleski_2024.pdf (help available at library: mojca.krmelj@fmf.uni-lj.si ) Slovenian Abstract and Slovenian Executive Summary (2 pages) are needed in ULJ version. Write both the abstract and summary in English. Translate them to Slovenian using an internet translator. Have your supervisor review and polish the Slovenian text.
If you plan to defend your thesis at the University of Ljubljana, the process involves additional steps:
- Steps 1 and 2:
- Apply for your thesis topic and submit your thesis for technical review as described above.
- Step 3: Similarity Check
- Upload your thesis to the VIS system for a similarity check.
- The similarity report will be reviewed by your mentor and co-mentor.
Once your thesis is approved for printing:
- The Student Office will inform you when you can proceed with the defense process.
- One printed copy of your thesis is mandatory. Additional copies for your mentor(s) and co-mentor(s) are optional and based on mutual agreement.
Throughout this process, Sandra will guide you via email and provide detailed instructions.
· Public graduation exam
1) Present your thesis in 20 minutes.
2) 2) Answer the questions from the jury (including theoretical questions from the chief examiner). 3)
3) Jury evaluates the thesis and the graduation exam.
4) Successful candidates receive temporary certificate and are later invited to official promotion, which happens around once a year. Graduation exam is performed in-person. Presence at the official promotion is optional.
· A valid Finnish residence permit is sufficient for entering Slovenia. Once in Slovenia, you will need to apply for a visa.
· All courses are conducted in English.

REGARDING MASTER THESIS
· Plan the schedule for thesis work
• Regular meetings with supervisor(s) will be arranged to the check the progress and giving guidance.
• Check your usage of references using Turnitin tool regularly and in particular when the thesis nears completion. Turnitin check is mandatory for all LUT theses, including double-degree theses supervised by another university – inform your LUT supervisor of the similarity percentage.

• When thesis has reached reasonable maturity, send it to the main examiner also for comments and corrections. Reserve time for this process as well.
• If LUT is your lead supervisor (examiner), ask for LUT acceptance by the examiner to upload it to LUTPub.
• If UL is your lead supervisor (examiner), prepare the thesis also in LUT format and ask for LUT acceptance to upload it to LUTPub.
• Independent of the lead supervision, you need to apply for the assessment of your thesis by LUT via the 1B form and by UL via Vis.
• In accordance with the regulations of UL FMF, defenses are expected to be conducted in person; online defenses do not comply with these guidelines.
Given that you have the option to select your defense date, we encourage you to choose a date that enables in-person participation wherever feasible.
